Message from Club Commodore

Dear Members
Following Government Coronavirus advice and the recommendation to avoid large gatherings, I have been looking at ways of keeping the Club going. Regrettably we have already had to cancel social events and gatherings and for the present we are running the bar and galley for lunchtime snacks, observing the "distance" requirement (basically keep a boat hook's distance apart!), but we are keeping this under review in line with Government announcements. I am determined to retain our staff and for them to be properly remunerated, and I will be issuing a separate note on the weekly emails on what we are doing in this regard.
I have put some thought to the AGM currently planned for Saturday 18 April and which I consider an essential part of keeping the Club going. Clearly we cannot hold an AGM in the normal way, but nor do I believe there is any merit in delaying for 6 months. The main objects of the AGM are for the membership to approve the audited accounts, and elect new Committee members - including this year a new Commodore. Other Agenda items are approving the AGM Minutes from 2019, appointment of the Auditors and for the Commodore's and Flags’ reports.
It is my intention to process the AGM's requirements online using the website. To this end, we will be posting on the Members’ page of the website the following documents at least 21 days before 18 April as required by the Constitution:
Minutes of 2019 AGM
Audited Accounts and Treasurer's report
Nominations for Full Committee
A voting form
Hard copies of the above documents will be posted to those Members for whom we do not hold a valid email address.
The voting form will ask members to record their votes for those items needing a vote and submitting this completed form to the Office, either by email or by post. The forms will be checked against the membership data base to ensure eligibility to vote.
I appreciate that some of you will have questions, particularly on the Accounts. Please submit your questions asap to the Office by email or by post no later than 14 April. For those questions on the Accounts, our Treasurer will provide a composite Q&A of all questions received which will be posted on the website by Friday 17 April, as will my Report. Again hard copies of these documents will be posted to those members for whom we do not hold an email address.
Clearly the absence of a physical meeting is an unorthodox approach but I believe this is the only pragmatic solution and I would ask you all to take an active interest in this process and submit your vote to add to its validity. I have discussed this way forward with the Trustees and have their full support. Personally I am very sad to be hauling down my Flag in this way, but we must keep the Club running and an open ended delay will not help anyone.
